
How to import candidate documents via email?
Sterndesk allows recruiters to quickly create a structured Crew (candidate) profile by importing documents via email. The system uses AI to analyze the documents and automatically convert them into a complete candidate profile.
Each organization in Sterndesk receives a unique email address that can be used to send candidate documents directly to the system.
Once the documents are received, Sterndesk AI processes the files and extracts the relevant information, organizing it into a structured Crew profile.
Where to Find Your Unique Sterndesk Email
You can find your organization’s unique Sterndesk email address in the Inbox tab, located in the top-right corner of the interface.
This email address is used specifically for sending candidate documents into the system.

Ways to Send Candidate Documents to Sterndesk
There are two simple ways to import documents and create a candidate profile.
1. Forward Documents from Your Email
Recruiters can forward an email containing candidate documents from their personal or work email to the organization’s unique Sterndesk email.
Once the email is received:
- Sterndesk AI analyzes the attached documents.
- The system extracts candidate information.
- A structured Crew profile is automatically created.
This is the fastest way to turn existing email applications into ready-to-use candidate profiles.
2. Ask the Candidate to Send Documents Directly
Recruiters can also share the unique Sterndesk email address with the candidate.
The candidate can then send their documents directly to that email address.
After receiving the documents:
- Sterndesk AI processes the files.
- The system automatically creates a Crew profile with structured information.
This method simplifies document collection and reduces manual work for recruiters.
